City of Rochester - Email Signature

To help you set up your professional City of Rochester email signature in Microsoft Outlook, follow the step-by-step guide below. This process ensures that your signature is properly formatted and ready to use in all your outgoing emails. Your email signature must strictly follow this official template and exclude decorative fonts, quotes, or unapproved images.

Step 1: Download the Microsoft Word Signature Template (Note - RAS, RFD, and RPD should use a custom template found here)

Step 2: Open the Document in the Microsoft Word Desktop App

Locate and open the downloaded file (COR_Email_Sig_template) in the Microsoft Word desktop application. Note:Opening the document in the web version of Word may cause formatting issues.

Step 3: Update the Signature Information

Edit the document with your personal information. Once you’ve made all the necessary changes, highlight the entire content of the document, including the image, and copy it to your clipboard.

Step 4: Open Microsoft Outlook Desktop App

Launch the Microsoft Outlook desktop app and create a new email. Then, click the “Signatures” button. A pop-up window will appear.

Step 5: Create a New Signature

Click the “New” button, then give your new signature a name. Paste the copied content from the Word document into the text box. In the “Choose default signature” section at the bottom, select your new signature in the "New messages" dropdown. Click “OK” to save your settings.
