Reminder: Best practices from our IT team

As technology continues to play a critical role in our work, it's important that we all follow the best practices set by the IT Department. These guidelines help ensure our systems remain secure, efficient, and compliant.

First, all users of the City's email services are required to follow the City’s email policy. Adherence to this policy is critical for maintaining security, compliance, and professionalism in all communications. Failure to comply with the email policy may result in disciplinary actions, including the suspension of access to city email services.

Next, City Charter charges the IT Department with overseeing all technology-related matters in the City. To maintain a safe and effective working environment, please: 

  • Consult with IT before any technology purchases or major changes.
    • The City may already have the same product or service in another department, or there may be shared demand.
    • The IT department will ensure all purchases align with IT minimal security standards, including proper password management and multi-factor authentication.
  • Give yourself appropriate time to purchase and implement technology purchases. All software & hardware purchases (new and renewals) are now being closely reviewed by IT in MUNIS. Please plan for this review when submitting requests, as there may be delays.
  • Use only authorized hardware & software to avoid security risks. If IT identifies a solution that doesn't meet City standards, it will be disabled until any issues are addressed and resolved.
  • Do not bypass IT policies or make unauthorized changes to systems.
  • Report any suspicious activity or potential security concerns to IT right away.
  • Participate in IT training and stay up to date on the latest updates.
